Creative and unforgettable – the right way to decorate event rooms

Iris Hildebrand, event manager at mbw for 21 years, reveals a few of her tricks

The Munich Conference Centre in the Haus der bayerischen Wirtschaft offers many options for organising events of all types and sizes in style. But it takes the right decoration to turn a simple, plain room into a unique location that leaves a lasting impression.

If you are planning an event, decoration should be on your agenda right from the start. After all, the decoration of an event room contributes significantly to the atmosphere of an event. Whether it's a congress, press conference, annual general meeting or social event - the right decoration emphasises the character of the event and puts guests in the right mood. And thus helps to achieve the objective of your event.

How to decorate event rooms appropriately

In order to decorate the rooms for your event appropriately without overshooting the mark, you should bear a few points in mind:

  • Keep the occasion in mind
    Not every event can cope with elaborate decorations. A different decoration (room) concept is required for a general meeting than for a summer reception in the evening. Whether modern elegance or Bavarian cosiness is more appropriate depends heavily on the occasion of the event. Think about what you want to achieve with the event and what you want to say. The decorations should also match this. A small floral decoration on the catering tables is always welcome and shows that you are a good host.
  • Choose suitable colours
    Consider whether your CI colours can or must be used in the decoration. This will help participants recognise where and with whom they are guests. Is there any company branding that can be used?

    And: Colours influence the mood and can make a location look completely different. Choose a colour scheme that suits the occasion and location. At a social event, for example, gold and silver create a sophisticated atmosphere. The colours blue and white, on the other hand, symbolise Bavarian tradition and can also be suitable in moderation for a general meeting or a congress (a casual event) at a venue in Munich.
     
  • Your event in the perfect lightning
    Lighting also plays a major role in the success of your event. And it's not just about the atmosphere! At a conference or press conference, for example, it is also important that the participants can see enough and that the speakers are clearly visible. In some cases, such events are filmed or photographed, or they are streamed in their entirety. The room needs to be professionally lit for this. At an evening event, on the other hand, a mixture of direct and indirect lighting is well suited to creating a festive atmosphere. Here too, a lot can be achieved with coloured light. You can create a pleasant atmosphere with candles (with real candles in lanterns or LED candles).

How to set special accents for your event

We always have the overall concept in mind for our event rooms in Munich. A few small but subtle accents can add the finishing touches to your event. In our conference centre, we have moving heads, spotlights, LED bars and various floor spots. We will be happy to advise you!

The location can be made much more inviting and friendly with floral decorations. The choice of flowers should match the colour scheme and the occasion and, of course, be as regional and seasonal as possible to promote sustainability.

Personalised event elements such as individual name badges with company logos, digital event programmes or a projection of the company logo on a monitor or, as in our case, on the large LED wall, make the event even more personal.

The decoration of your location characterises the atmosphere and contributes significantly to the success of an event. A consistent, coherent concept that is geared towards the occasion of the event will ensure that your event remains successful and unforgettable.

Even the entrance area should be lovingly designed, but not overloaded. Make your guests feel welcome. Small decorative trees or floral arrangements to the right and left of the entrance are popular. These can be placed on pillars, for example. However, make sure that the entrance is not too narrow as a result and that the flowers are stable so that there are no obstructions at the entrance.
